Privacy and Cookie Policy Beyond Mars

1. Introduction

As of September 3, 2025, Challenge MC and MaisonRouge will join forces under the trade name Beyond Mars and PayPeople. While we operate under a single brand, the legal entities will continue to exist:

Beyond Mars is the trade name of:
- Challenge MC BV, managing the activities of the Beyond the Smile and Beyond the Stage divisions.
- IdéFix BV, managing the activities of Beyond the Serve, under staffing licenses:
  o Flemish Region: VG 2205/U
  o German-speaking Community: DG-LAV-034
  o Brussels Capital Region: 00002-406-20180111
  o Wallonia: W.DISP.1316
- MaisonRouge BV, managing the activities of the Beyond the Serve division for full-scale projects.

PayPeople is the trade name of IdéFix BV, managing the activities of the Payroll division, under staffing licenses:
- Flemish Region: VG 2205/U
- German-speaking Community: DG-LAV-034
- Brussels Capital Region: 00002-406-20180111
- Wallonia: W.DISP.1316

When this policy refers to “Beyond Mars” or “PayPeople,” it may concern one or more of these legal entities, depending on the division and activity.

Your privacy is important to us. In this policy, we explain how we collect, use, protect, and share personal data.

2. What data do we collect?

We collect and process personal data depending on your relationship with us (client, supplier, candidate, crew, website visitor):

- Contact details: name, first name, address, phone number, email address, date of birth, gender, and other necessary identification details.
- Professional data: company, job title, VAT/company number, payment data, contract and invoicing data.
- Candidates and crew: photos, measurements, work experience, education, language skills, motivation, availability, national register number, bank account, insurance and employment data.
- Technical data: IP address, cookies, navigation data, use of our websites and digital platforms.

In some cases, we obtain data via third parties or from contracts, registration forms, competitions, social media, or software platforms used for planning and communication.

3. Why do we collect this data?

Your personal data is processed for the following purposes:

1. Contract execution: correct management of contracts, payments, and administration.
2. Recruitment and selection: registering, screening, and presenting candidates or crew members to clients.
3. Communication and direct marketing: informing you about our services, promotions, newsletters, projects, and job opportunities.
4. Profiling: making our communication and services more relevant.
5. Website management and IT security: ensuring the security, performance, and functionality of our digital tools.
6. Legal obligations and disputes: complying with legislation or defending our rights.
7. Statistics and improvements: evaluating and optimizing our operations.

4. Legal basis

We process personal data on the basis of:

- The execution of a contract or pre-contractual steps.
- A legal obligation.
- Our legitimate interest (e.g., marketing or IT security).
- Your consent (e.g., for certain marketing actions or use of photos).

5. Retention periods

We do not retain your personal data longer than necessary:

- Contractual and administrative data: as long as necessary for execution and up to 5 years after the last activity.
- Candidate and crew files: up to 5 years after the last activity.
- Usage and cookie data: up to 5 years after last use.
- If you withdraw your consent or object to processing, we will delete your data unless legal obligations require otherwise.

6. Your rights

You always have the right to:

- Access your personal data.
- Request the correction of inaccurate or incomplete data.
- Request the deletion of your data (“right to be forgotten”).
- Request restriction of or object to processing (e.g., direct marketing).
- Transfer your data (“data portability”).
- File a complaint with the Belgian Data Protection Authority (DPA).

You can exercise your rights via the contact details in section 11. We process each request within one month, unless complexity requires an extension (max. 2 months).

7. Sharing with third parties

Your data will only be shared if necessary:

- With clients (e.g., candidate or crew presentation).
- With suppliers or subcontractors (e.g., software, hosting, IT partners).
- With competent authorities if legally required.

Data may also be processed outside the European Economic Area (e.g., by Google or Microsoft). In such cases, we apply appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

8. Social media and marketing tools

We use platforms and tools such as Facebook, Instagram, LinkedIn, Mailchimp, CampaignMonitor, and Sendgrid. When you view or share our content via these channels, the provider may collect personal data and link it to your profile. Please consult their respective privacy policies.

9. Security and data breaches

We take reasonable technical and organizational measures to protect your personal data against unauthorized access, loss, or misuse.

In the event of a data breach, we will promptly notify you and the competent authority and take the necessary steps to limit any damage.

10. Cookies

Our websites use cookies to improve your experience:

- Necessary cookies: basic operation of the site.
- Functional cookies: remember preferences (e.g., language settings).
- Analytical cookies: collect statistics (e.g., via Google Analytics).
- Marketing cookies: only used with your consent, e.g., ads and social media integration.
