Waregem Koerse: Stylish Hats, Sharp Teams
Waregem Koerse: Stylish Hats, Sharp Teams
Waregem Koerse is much more than just horse racing. It is one of the busiest events of the year, bringing together fashion, networking, and Belgian hospitality. Behind the scenes—amidst the striking hats and thrilling races—a well-oiled machine works to provide thousands of visitors with a flawless experience. For Beyond Mars, this edition in Willy Naessens' hospitality zones was the perfect opportunity to demonstrate what happens when our three divisions work together at full speed.
Three Divisions, One Powerful Combination
An event of this scale places high demands on the staff on the floor. You don't just need "people"; you need presentable hosts, fast and hospitable service staff, and flexible logistics teams who perform under pressure. Beyond Mars deployed more than 30 dedicated students and flexi-workers at Waregem Koerse, split across our specialized divisions:
-
Beyond the Smile – The First Impression:
Our hosts and hostesses served as the face of the VIP reception. They took care of ticket scanning, ID checks, and wristband distribution. Impeccably dressed in stylish black complete with the characteristic hat, they provided a warm, professional, and elegant welcome from the very first second.
-
Beyond the Serve – Hospitality at its Finest:
In the bustling VIP environment, our catering team kept everything flowing smoothly. From the champagne bar and well-stocked tapas stations to continuous table service: the tables remained tidy, and guests lacked for nothing.
-
Beyond the Stage – The Logistics Engine:
No successful VIP event happens without solid background logistics. This team handled equipment setup, directed traffic flow on busy access roads, and managed the VIP shuttle service. This required attentive drivers who could seamlessly balance navigating hectic traffic with engaging in professional conversation with guests.
Central Control via Ground Control
With so many different roles, locations, and shifts on the same site, having oversight is crucial. That is why a dedicated member of our permanent Ground Control team was continuously present on-site. This central point of contact kept a finger on the pulse minute by minute, adjusted operations where necessary, and ensured all three divisions remained seamlessly aligned. Whether quick extra support was needed at VIP scanning or shuttle shifts had to be adjusted: thanks to this direct coordination on the floor, communication with the client was direct and efficient.
Operating from Early Morning to Late at Night
Behind that apparent effortlessness lies an intensive day. The first tents were set up early in the morning, and for some teams, the shift ended deep into the night around 1:00 AM. While one team member welcomed guests at the entrance, a colleague further down guided cars to their spots, while drivers readied the VIP shuttles. That requires not only physical endurance, but above all tight coordination and people who continue to think independently when pressure mounts.
Working Together as One Team
Ultimately, the success of a day like this is measured by the feeling guests go home with. Despite their diverse tasks, all Beyonders worked together as one cohesive team: with each other, under the guidance of Ground Control, and directly alongside Willy Naessens' organization.
